Job Purpose:-

  • Administrative works, Housekeeping and upkeeping of factory premises and facility, Health and Safety, company Transportation management, Asset management, Security management.

Key Deliverables:-

  • Prepare, monitor and control admin budgets and set up governance procedure
  • Facility Management -Oversee facilities services intact & AMC Renewal, Infrastructure Upkeep & Maintenance, Lease Agreements, NOC Building, Physical Security & Fire Safety Management, Pest Control including Housekeeping and Landscape of Premises
  • Security – Site Security Surveys and Vulnerability Assessments through surveillance, Site Security design or upgrading, develop and implement company Security Policy’s, Threat & Risk Assessments, Security Service Vendor Selection and Due Diligence, Asset Protection. Pilferage Tracking, lost & found set up
  • Ensuring fire & Safety operations by regularly checking Smoke & heat detectors. Fire extinguishers are Monthly checked for damage & expiration.
  • Fire mock drills is organized in every quarter. Health & Safety committee remains the part of the training & they are briefed on fire safety & Evacuation
  • Site logistics -Ensure Site logistics properly supervised including IT services
  • Maintenance of all company vehicles, Vehicle & Driver Management, parking management
  • Ensure QRT & Safety compliance and Drills on regular intervals
  • IT -Laptop/desktop issuance & record , Wireless Handsets, Telephone, EPBX System, LAN Management etc
  • Travel Management -Managing Travel arrangements
  • Vendor Management – Ensuring negotiation and timely reviews with vendors & service providers for achieving best services levels at optimum cost.
  • SOP- Formulating/reviewing and adhering SOP’s for Administration/ Asset Management & other administration related
  • Conceptualizing various administration procedures & policies for smooth & effective running of the facility function across the units/offices
  • Expense Management -Manage day to day admin expenses and adhere to all statutory obligations within timelines PAN India level
  • Assist in Registration /Renewal of licenses & Agreements
  • Compliance & Liaison Adherence -Liaising with Govt. authorities for various statutory compliances of offices & other facilities & buildings of organization, Fire authorities /Labor Commissioner /Shop and Establishment renewal and registration /Pollution Deptt, NOC Building, Water, Electricity board other relevant bodies as required
  • Data Management -Maintain Data, Asset list & vendor record, documentation for service Record for all equipment/Contract labor statutory compliance requirements are in place
  • Ensure daily/monthly & yearly MIS reports required by the management are prepared in an appropriate form and on a timely basis
  • Maintain MIS reports, SLA & SOPs, service, purchase requests & orders, maintenance log to maintain operational efficiency
  • To Educate, motivate, and train administrative staff as per service standards -PAN India
